As Leading Office Manager (m/f/d) you will be responsible for the site management of our new “Campus” with around 1,400 square meters in the heart of Düsseldorf. The Campus will be a state-of-the-art, technologically innovative, and sustainably designed location for all employees of the WEPA Group. The construction phase is scheduled for completion in early summer 2026.

As Leading Office Manager (m/f/d) you will be responsible for the site management of our new “Campus” with around 1,400 square meters in the heart of Düsseldorf. Your Tasks
Project management construction phase
- Oversee and coordinate the office setup and construction phase, ensuring timelines, budgets, and quality standards are met.
- Act as the primary interface between architects, vendors, and internal stakeholders throughout the build-out process.
- Manage logistics, procurement, and installation of office infrastructure, furnishings, and equipment.
- Ensure compliance with health, safety, and regulatory requirements during all stages of construction.
- Proactively identify and resolve issues or delays to keep the project on track and aligned with company goals.
- Support the smooth transition from construction to operational phase, ensuring preparation and chairing of regular steering committee meetings
- Take full responsibility for the day-to-day operations of the Campus, ensuring a smooth, professional, and welcoming environment.
- Lead and support the on-site team, fostering a culture of excellence, collaboration, and continuous improvement.
- Act as the key point of contact for all stakeholders, including staff, visitors, and external partners.
- Drive the development and implementation of initiatives to enhance community engagement and workplace culture.
- Oversee facilities management, ensuring the office is safe, efficient, and aligned with company standards.
- Identify and implement improvements to office systems, processes, and services to support business goals.
- Organize and coordinate community-building events, internal communications, and team experiences.
- Qualification: Completed commercial training or comparable qualification
- Experience and Know-how:
- Experience in organization, (front) office management, administrative assistance, Hotel Business and/or project management
- Experience in planning and execution of various event format
- Interest and skills in unconventional approaches and solutions
- Conflict resolution skills
- Good knowledge in Microsoft 365
- Languages: Very good German & English skills
- Personality: You are motivated, empathetic, open minded, creative, strong in communication, attentioned to detail, technology-savvy and have great organization and teamworking skills
- Working: You work self-driven and goal oriented and can quickly adapt to new requirements with your hands-on mentality
